Sharing notes externally — share links and public pages

Share Memol notes with clients, prospects, or the public. Compare share links, public pages, and viewer-only invites.

When you need to send a note to someone outside your workspace — a client, a vendor, the public — Memol has three sharing options.

Three sharing modes

ModeRecipientAuth requiredEdit access
Member inviteTeam membersYesPer role
Share linkExternal (clients, vendors)No (anyone with link)Read-only
Public pageAnyone, SEO-indexedNoRead-only

Issuing a share link

When sending a note to a specific external recipient:

  1. Note menu (⋯) → Generate share link
  2. Copy link
  3. Send via email / Slack / etc.

Anyone with the link can read it. The URL is a random hard-to-guess token, so practically only intended recipients see it.

Options

  • Expiry: 24h / 7d / 30d / unlimited
  • Password protect: 6+ character password (PRO+)
  • Allow download: Whether attached files can be downloaded

Revocation

Open Share link management any time to disable. Once disabled, the URL becomes inaccessible immediately.

Public pages

For blog-style use cases (internal handbook, recruiting page, FAQ):

  1. Settings → Public workspace → enable
  2. For each note you want public, toggle Publish
  3. URL: https://memol.app/public/{workspace-slug}

Public workspace use cases

  • Open the hiring handbook — Culture and benefits transparency
  • Customer-facing product docs — Run support docs in Memol
  • Industry reports — Publish to attract leads

Public pages are crawlable by Google, so SEO traffic is a bonus.

Viewer role (PRO+)

For long-term external collaborators who should only read:

Capabilities:

  • Read all notes
  • Search (including AI search)
  • Comment (optional)

Restrictions:

  • No create / edit / delete
  • No folder operations
  • No member management

Ideal for external auditors, consultants, contractors.

Security best practices

  • Vendors get share links, not member invites
  • Long-term collaborators get VIEWER (easier than managing many links)
  • Don't publish sensitive info — once Google indexes it, you can't unsee it
  • Audit share links when employees leave

Can I share a whole folder?

Sharing is per-note today. Folder-level external sharing is on the roadmap.

To share many notes at once, use public workspaces — that's the current best path.
