Team collaboration — invitations, roles, and operational tips

Complete guide to using Memol with a team: invite members, set roles, configure folder-level access, and establish workflows that actually stick.

Memol works for individuals, but really shines once 3+ people start using it together. This guide covers setup and operational tips.

Inviting members

  1. Click the workspace name (top left) → Settings
  2. Members tab
  3. Invite → enter email → choose role

The invitee receives an email. They don't need a Memol account yet — they can sign up from the invite link.

Roles and permissions

Exactly one OWNER per workspace. Transfer ownership when handing over.

Folder-level access (BUSINESS)

For information only some people should see:

  1. Right-click the folder → Permissions
  2. Change visibility from Workspace to Specific members
  3. Choose who has read / write access

Members without access don't even see the folder exists.

Setup recommendations

Week 1

  • OWNER + ADMIN build the folder structure first
  • Customize 1–2 industry templates
  • Add sample notes labeled as examples

When the team joins, they immediately see what goes where. Adoption is much faster with this groundwork.

Operational rules to consider

  • Meeting minutes shared within 24 hours
  • Only admins create new tags (prevents tag sprawl)
  • Separate "personal notes" and "shared docs" folders
  • 10-minute cleanup on the last Friday of the month

Common pitfalls

  • "Notes scattered, can't find anything" → Folder structure plus AI search. See Folders and tags.
  • "Inconsistent format across people" → Custom templates. See Templates.
  • "Nobody actually writes notes" → Build a 5-minute "weekly notes" slot into your team's existing meeting rhythm.

When a member leaves

Removing a member preserves their notes in the workspace (author shown as "(removed member)"). Information is not lost.

To transfer ownership of specific notes, use the per-note transfer action before removing the member (PRO+).
